Membership Policies/Procedures

Memberships offer discounted rates to services and additional benefits. Memberships are subscription services. The subscription starts the day a client signs up for the membership, and will charge again the same day each month thereafter. Each month as part of a membership the subscriber will receive credits to redeem for services. With any massage therapy membership credits will roll over for 1 month before expiring. With personal training credits, credits will expire at the end of each billing period unless we arrange otherwise.

Extended Roll Over Time

Subscribers to any membership may request extended roll over time for unused credits so long as they (1) ask at least 1 week in advance of the credits expiring and (2) explicitly ask for an extension in roll over time. Holidays and extended vacations are examples of why one might need a roll over extension. Whether a client qualifies for a roll over credit is entirely at my discretion and may not be granted. If credits are granted extended roll over time, they will have 3 months (from their expiration date) to be used unless arranged otherwise. 

General Membership Termination

If a member wishes to terminate their membership, they must alert me (via email at ben.beeler2014@gmail.com) at least 5 business days (Monday-Friday) before their membership automatically renews. I will hold my members accountable to this policy. 

Please note that just because a member has fulfilled their minimum membership commitment period does not mean that their subscription stops. Membership subscriptions automatically renew each month unless they are cancelled. 

Membership Pauses Vs Cancelling Explained

After the initial membership commitment (varies on the type of membership), members are allowed to pause or cancel their memberships. The difference between a pause and a cancel is that a pause is a scheduled break, in which a date to resume is decided beforehand (maximum pause 3 months). A cancellation is when there is no chosen date to resume. 

Cancelling a membership has 2 downsides: 

1. If a member chooses to cancel and then later decides they would like to start again, they will be starting with the same initial time commitment when they first signed up for the membership. If they schedule a pause instead, they are only committed to the single month that they plan to resume. 

2. Your membership spot may be claimed by another person and you may have to wait before a membership becomes available again. If you are in this situation, I recommend subscribing to my membership waitlist. 

Membership Pausing Limits

Members can pause a membership a maximum or 2 times per year (for a combined total of up to 4 months.). Please email ben.beeler2014@gmail.com to pause. Please note, you can only do this after you have fulfilled the minimum membership requirements. 

Paused Membership Resuming Commitment

When a member chooses to pause a membership instead of cancel, I am actively holding that membership slot for them. For that reason, members who pause their membership are committing to resume payment for at least the month of their scheduled return. 

Business Side Membership Pauses And How They Relate To Membership Pauses Max Limits

When I have a reduced schedule for vacations or other commitments, I will often forgo membership charges on certain months. Each of these months count as .75 months off, rounded down to the nearest whole number. For example, if there are 3 months in the summer with no membership charges, that will count as 2/4 maximum months that a membership can be on pause for. That means in a year where I pause memberships for 3 months, members can only pause for an additional 2 months. 

 

Membership Termination (Con't) 

Early Termination

Memberships contain minimum time commitments listed on my massagebook booking system and pricing pages. I will allow clients to terminate early If they meet any of the following requirements: 

  • Suddenly need to relocate more than 1 hour outside of San Francisco (must enroll in online training for remainder of time commitment if membership is for personal training). 
  • Have a sudden medical condition that makes exercise or massage therapy contraindicated (as determined by a doctor). 
  • Have sudden and unexpected financial hardship. 

Please note that whether a client meets these requirements may be subjective and whether a member qualifies for early termination is entirely at my discretion. 
 
Early Termination Fees – Massage Therapy 
In any of these events that a massage therapy membership is terminated early, there will be a one time fee that is the difference between the membership fees paid and my drop in rate. For example, let’s say a massage therapy member completes 3 sessions (through membership credits or drop ins), and pays $60 less than my drop in rate over the course of those 3 sessions. A $60 fee will be added during the termination to make up for the difference. It a massage member pays for 6 or more sessions while on a membership, there will be no additional fees. 
 
Early Termination Fees – Personal Training

If I allow a personal training member to terminate early, there will be no termination fees. However, if they are terminated due to relocation, they must switch to online training for the remainder of their commitment, with a minimum monthly fee of $140. 

(Please note that whether a membership qualifies for early termination is still solely at my discretion). 

My Vacation Time And Your Membership

Naturally, just like my clients I do take time off. I leave town, and this could impact my availability and the ability my clients have to use their credits before they expire. Here is how I handle this problem:

  1. Any vacation time I do take will be planned out at least one month in advance. This gives my clients plenty of time to view my schedule and plan accordingly. 
  2. If I leave for more than 1 week, I will pause all memberships for that month, but will allow my members to book discounted sessions. This means there’s no membership fee (or credits given) during that month, but that you can drop in a-la cart at the discounted membership rate. 
  3. I will add additional office hours in my schedule on months where I am taking vacation if needed. That may mean opening additional hours of operation on select Sundays and Mondays. 

Pay In Advance Policy

Occasionally clients ask to pay in advance to take advantage of FSA accounts, tax breaks, and other perks.  You have 2 options: (1) you can buy a package of at least 6 sessions at the membership rate, and I will pause your membership until you have used them up (in our agreed upon time frame) or (2) you can purchase as many additional drop ins as you wish that you can use as long as you have an active membership or within 6 months of cancelling your membership. 

Reminders To Use Your Membership Credits

Sometimes my clients forget to use their membership credits. I really want my clients to use their membership credits because I want them to experience the full value of  the services they purchase. However, keeping tabs on which of my 50 members have used their credits is too time consuming on my end, and I am unlikely to reach out to members who have not used their credits. Members are responsible for managing and making sure they use their credits. If you need to check on the status of your membership, just login to massagebook through my booking system or your email, and click the “memberships” tab. That will show you the status of your account. 

Checking Your Membership Status And Credits

To check their membership status, when memberships renew, and available credits, members can log into my booking system (just click book now) and click the “memberships” tab on their account. From there, sessions can be booked to take advantage of all available credits.  

Please note: I usually only handle billing twice a month. This means that you may see an existing credit that has yet to be applied to a previous session. Please keep track of when you have been into my office to avoid confusion. 

Billing For Additional Member Drop Ins. 

Members can do unlimited additional drop ins at the membership rates. If a member goes over their credit limit, I will run a charge on their card for the additional session and send a receipt. If you have any questions or a charge you would like to dispute, please contact me and I will respond asap. 

Members Repeat Booking Perk

Members are allowed to set reoccurring appointments up to 6 months out in the future. For example, if it’s available, you can grab 3:30pm on every 1st Tuesday for the next 6 months. The only caveat is that I may have to cancel any of those sessions in advance for vacations or other personal commitment. If I do cancel an appointment, it will be far ahead of time and you will receive an email notification. It is your responsibility to notice when a session is cancelled and book a different session for that month. …Please be sure you receive a text/email confirmation ahead of appointments to be sure that you have an appointment. 

Members are also welcome to move any reoccurring appointment with at least 48 hours advance notice. 

Reoccurring appointments must be set up in person with Ben.
